Organizational Context

The primary purpose of the PrivateSector Partnerships (PSP) unit within UNHCR Italy is to generate income fromindividual donors, corporate and foundations, in order to sustain UNHCRactivities worldwide. The incumbent is part of the PSP Support Team, a group ofpeople with a wide range of duties, including Admin and Finance, Procurementand HR.

 

The PSP Admin Assistant and IT focalpoint will be supervised by the Snr PSP Admin/Finance Assistant who will definegeneral work objectives and provide necessary advice and guidance, identifyingwork priorities and appropriate approaches. The incumbent will perform avariety of functions related to the organization and co-ordination of PSP Italyoffice space in Rome, with the main objective of facilitating organizationaleffectiveness and efficiency.

Responsibilities

Under the overall supervision of the Associate PSFR Officer (Support),the individual contractor will assist in the following:

 

       Organizing office spaces and proceduresaccording to UNHCR policies

       Arranging office systems, layout andequipment

       Researching vendors in accordance withUNHCR Procurement Regulations

       Verifying receipt of supplies

       Liaising with local service providersand vendors

       Maintaining office efficiency andequipment

       Liaising with Infrastructure ManagementUnit

       Scheduling and follow up maintenanceactivities

       Act as IT/ICT Focal Point for PSPOffice and Software Administrator

       Ensuring maintenance of ISP and ServerRoom

       Solving problems related toswitchboard, phones and video conference

       Setting up and software installation onnew computers

Minimum Qualification and Professional Experience Required

  • Completion of secondary education or equivalent technical or commercial school with certificate/training in Business Administration, Finance, Office Management, Human Resources or other related field.
  • Minimum 4 years of previous job experience relevant to the function.

  • Fluency in English and excellent knowledge of Italian.
